ReMemo

Privacy notice

Version 3 · 2026-10-15 · ReMemo memory-saving initiative

Who is responsible

ReMemo is run by CFMedu (Canada Fun and Multicultural Education Center), a Canadian non-profit organisation, which is responsible for this information. For questions, or to see, correct or delete an elder's information, email rememo@cfmedu.org. This notice is a summary; the full policy is at cfmedu.org/privacy.html.

What we collect

The elder's name, mobile number, preferred contact method and language; an optional backup contact; the photos, voice recordings and stories the elder chooses to share; and the date and method of their agreement.

Why

Only to make the elder's memory album and to contact them about it. We do not sell the information; we give the service providers listed in this notice only what they need to provide their service. ReMemo's data is never used for any commercial purpose.

Where it is stored

Registration and contact details, messages and transcripts are stored with Supabase, our database provider, in Canada. Photos and voice recordings are stored with Cloudflare in eastern North America (which may be outside Canada). Both are encrypted in transit and at rest. WhatsApp messages, photos and voice messages pass through the servers of Meta (WhatsApp), and text messages through Twilio; both may be outside Canada and are also covered by their own privacy terms. We use the OpenAI API (United States) to help turn recordings into text, translate messages, draft replies that a staff member checks before sending, and organise notes; this information is not used to train AI. Printing partners receive only finished page files, never original photos, recordings or contact details. These pages load their typefaces from Google Fonts, which receives your browser's IP address.

How long, and deleting

We keep the album materials as a lasting family archive, unless the elder or their legal representative asks us to delete them. We confirm the request and complete it within 30 days, in our own records and in our cloud storage. Copies that passed through other services (WhatsApp or text message history, temporary processing by OpenAI, page files sent to our printing partner) are kept or removed under those providers' own terms. Copies already given to the family, or printed, remain theirs.

QR codes in the album

A QR code in a keepsake links to one of the elder's recordings, and anyone who scans it can listen. Please share albums only with people you trust. We do not set an expiry date on these links. A QR code stops working when its recording is deleted, and could also be affected if ReMemo stops operating or by a technical problem; families can ask us for a copy of their recordings at any time. If the elder does not want a recording reachable by QR code, we can leave the code off that page, or delete the recording.

Registering for someone else

A family member may register an elder, but only after the elder has agreed. If the elder cannot make this decision themselves, their legal representative (for example, someone holding their power of attorney) must agree on their behalf, and can make the same choices and requests as the elder.

Outreach use

We use photos or stories in ReMemo outreach only if the elder agrees to that separately.

Your choices

Reply STOP to our WhatsApp or text messages at any time to stop hearing from us, or ask us to delete everything. Students who help as volunteers can upload photos but cannot view an elder's records.
